This Privacy Policy explains how ARC Realty and Property Management LLC ("ARC," "we," "us") collects, uses, and protects information when you contact us, apply to rent from us, rent from us, or use our text messaging service.
Information we collect
We collect information you give us directly, such as your name, mobile phone number, email address, property address or unit, and the details of maintenance requests or leasing inquiries. We also keep records of messages you send to us.
How we use your information
- To respond to your questions and maintenance requests
- To coordinate repairs, showings, and appointments
- To review rental applications and screen applicants (see "Rental applications" below)
- To send account notifications and service-related messages related to your tenancy
- To meet legal, accounting, and record-keeping obligations
Rental applications
When you apply to rent through our online rental application, we collect the information you enter, which may include:
- Contact information: your name, email address, and phone numbers, plus emergency contact and reference details
- Residence history: current and previous addresses, rent amounts, landlord contact details, and rental history answers
- Employment and income: employer and supervisor details, job title, start date, income amounts, other income sources, and bank name and account type (we do not ask for account numbers)
- Household details: other occupants, animals or accommodation requests, and vehicles
- Uploaded documents: any proof of income or photo ID you choose to upload or email to us
How it's sent. Applications are delivered to us by email through FormSubmit (formsubmit.co), a third-party form service that forwards form submissions and attachments to our email inbox. Information you send through the form is also subject to FormSubmit's own privacy practices.
How it's used. We use application information only to evaluate your rental application and, with your authorization on the application, to run credit and background checks and to verify your employment, income, rental history, and references. This may involve contacting the employers, landlords, and references you list, and obtaining reports from consumer reporting agencies.
Social Security number and date of birth. We do not collect your Social Security number or date of birth through our website. If needed for screening, we collect them from you by phone and use them only for your credit and background check.
Retention. We keep application information only as long as reasonably needed to evaluate your application and manage any resulting tenancy, or longer where required by law.
We do not sell your personal information. Questions about your application data, or requests about it, can be sent to arcrealtyandpropertymanagement@gmail.com.
Mobile information and SMS
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the text message services.
We may share information with vendors only as needed to provide our services (for example, a contractor completing a repair at your unit, our text messaging provider delivering messages, our form service delivering applications, or a consumer reporting agency providing a screening report you authorized). We do not sell your personal information.
Opting out
You can stop receiving text messages at any time by replying STOP. Reply HELP for help, or contact us using the details below. See our SMS Terms for more.
Data security
We take reasonable measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Changes to this policy
We may update this policy from time to time. The effective date above shows when it was last revised.
